Exporting PST to NSF and combating trouble arise during the process

In many organizations, multiple email clients are used depending on the requirement of the department. Presently, MS Outlook and Lotus Notes, both are highly accepted modes of electronic communication both at general and enterprise level. Their ability to compete the requirements of professional environment, both of these applications grabs primary attention of users at all front. At this point of time, need may arise where users may want to view Outlook PST emails in Lotus Notes environment.

Considering this possible scenario, Outlook Exchange provides the option to export PST to NSF file format in the form of Connector for Lotus Notes.

The Connector for Lotus Notes comes with Exchange Server 2003. This connector enables Exchange administrators to implement messaging coexistence between Exchange Server and Lotus Domino organizations. The connector establishes mail-flow connectivity and allows users synchronize the two directories.

In order to interact with Domino, the Connector for Lotus Notes uses Notes API calls. Hence, a Lotus Notes client must be installed on the connector server. If, you are using Connector for Lotus Notes Web Release 2.7, you must have following supporting applications:

  • Exchange Server 2003 Service Pack 2
  • Windows Server 2003
  • Lotus Notes client 6.5.x (tested with version 6.5.4)
  • Connectivity to a Domino server

Once, you have installed and configured the connector, you need to enable Notes proxy addresses on the recipient policy. This will help the mail-flow and directory synchronization. After this, the Recipient Update Service will automatically generate the proxy addresses for each mailbox-enabled and mail-enabled account in the Exchange organization by using a proxy address generator.

Basically, Exchange server keeps messages in TNEF (MAPI) format and Notes uses Composite Data (CD), which is the rich text formatting used in Notes. MS Exchange and Lotus Notes can effectively handle formats such as HTML/MIME.

Despite of such supportive features of Connector for Lotus Notes, problems do arise. An Exchange client may encounter a mail or message from a Lotus Notes originator containing a black and white bitmap image. The image likely originated as a screen capture (CRTL+PRINTSCREEN or ALT+PRINTSCREEN) pasted into a Lotus Notes message. The message has been migrated into Exchange via either the Microsoft Exchange Connector for Lotus Notes (Exchange Server 5.5 – NMC) or the LinkAge Connector for Lotus Notes 3.2.

This problem occurs because, the Lotus Notes client’s export filters do not appropriately maintain the color properties of screen capture bitmaps while converting the message body from Composite Data (CD) format to Rich-Text Format (RTF). The bitmap is described within the RTF structure as having a color depth of one pixel (\wbmbitspixel1).

Such errors and troubles can be avoided if you export PST to NSF file format. You would not need to go for long process of building connection if you use export entire PST file into NSF environment.
